COVID-19 INFORMATION

 

Does WEC have an official COVID-19 Statement? Our annual signature North American event, World Education Congress (WEC), has been rescheduled to begin on November 3rd in Grapevine, Texas. Rest assured that Meeting Professionals International (MPI) remains diligent in ensuring that the safety and security of our attendees, staff and operational personnel remains the top priority.

As we move ahead with planning and implementing the programming at WEC Grapevine, MPI will continue to place high importance on facilitating measures that will ensure optimal health and sanitary conditions for everyone onsite during the event.

In order to remain informed about the ongoing situation at both the global and local levels, we are monitoring and in constant communication with area Convention Visitors Bureaus (CVBs), particularly our partners at the Grapevine CVB, partner associations, national authorities, MPI Advisory Councils and MPI’s International Board of Directors.

Ongoing updates on MPI plans related to WEC Grapevine, including education and programming, will continue to be available at mpi.org/wec.

We believe it is critically important for our community to remain adequately, properly and responsibly informed on COVID-19. As such, we recently launched a devoted page on mpi.org that provides resources for our meeting and event professionals community. In addition to that page, our social media and newsletters (Pulse and NewsBrief) will continue to provide updated, relevant and credible content to ensure our community is well-informed.

GENERAL INFORMATION

 

When and where is MPI's 2020 World Education Congress? WEC will be held in Grapevine, TX at the Gaylord Texan Resort & Convention Center. Originally scheduled for June 6-9, 2020, this event has been postponed to November 2020. The new official dates are TUESDAY, NOVEMBER 3, 2020 THROUGH FRIDAY, NOVEMBER 6, 2020.

Who attends MPI's World Education Congress? WEC is for meeting and event planners and sales professionals who want to know where the market is going, who care passionately about being prepared for new market challenges and who want to lead the charge in designing more intelligent, effective experiences that drive revenue, achieve organizational objectives and benefit host and participant communities. The WEC community has 10 to 20 years of industry experience but welcomes cross-generational mentorship opportunities and the next generation of attendees to this fantastic, engaging community.

What is being done in regards to United States Election Day? The 2020 United States elections will be held on Tuesday, November 3, 2020 – the first day of WEC Grapevine. Please use the following resources to confirm your process for casting a vote – Vote.org, US Vote Foundation and USA.gov. We will be providing monitors during the Opening Party offering coverage of Election Day results.

How can I register for WEC? There are several ways to register for WEC. You can register online and onsite in Grapevine. Here's how:

Online – The WEC Grapevine website provides internet registration 24/7.
Onsite – Registration counters will be available onsite.

How much does WEC cost? Click here to learn about our pricing options.

What is included in my registration fee? Full Conference fee includes Opening and Closing Night Celebrations, education sessions, meal functions and a ticket to our MPI Foundation fund-raising event, Rendezvous. Events requiring registration and additional payment are so noted.

How can I book a hotel? In order to book a hotel, you must first be registered for WEC. Once you register, you will receive the link to book your hotel in your confirmation email. Our official hotel partner for WEC Grapevine is the Gaylord Texan Resort & Convention Center.

I am unable to attend WEC in person. Is there an option to attend virtually? YES! WEC Grapevine will be a hybrid event in which we will have live, on-site attendees, as well as attendees via a virtual platform. You can register for the virtual experience from the Registration landing page on the WEC website.

What are the Refund/Cancellation/Substitution Policies? Refund Policy: Deadline to request a full refund or transfer your registration to WEC Las Vegas is Friday, October 23rd. Cancellations must be received by the stated cancellation deadline and will be accepted in writing only. No shows for the event will not receive a refund or credit towards WEC Las Vegas.

NOT ELIGIBLE FOR A REFUND:

- Rendezvous Tickets
- Discount or special promotion codes are only available on new registrations, refunds are not available to any existing registrations

Cancellation Policy: All refund requests must be made by the registered attendee or credit card holder and include the name of the attendee and/or transaction number. Refunds will be issued via the original payment method used, no later than (30) days after cancellation has been approved. Please send written cancellations to WECreg@mpiweb.org.

Substitution Policy: Substitution of registration (same type: member/non-member) is permitted prior to October 23, 2020. Only one substitution is permitted per original registrant with written consent. The individual submitting the substitution request is responsible for all financial obligations associated with that substitution as well as updating any contact/demographic information. Please email substitution requests to WECreg@mpiweb.org.

What is the Event Cancellation Policy? Meeting Professionals International (MPI) reserves the right to cancel an event due to low enrollment or other circumstances which would make the event non-viable. If MPI cancels an event, registrants will be offered a full refund. Should circumstances arise that result in the postponement of an event, MPI has the right to either issue a full refund or transfer registration to the same event at the new, future date. MPI will not be responsible for reimbursement of any participant’s expenses related to the cancellation or postponement of an event.

Can my registration transfer to WEC Las Vegas in 2021? Our staff will work with attendees to see what best fits their situation, including a possible transfer of registration fees for WEC Las Vegas.

MPI grants a limited number of complimentary registrations to editorial press staff — specifically editors, reporters, writers, producers, photographers, camera crews and select bloggers. Non-editorial press staff, such as sales directors, publishers and marketing or advertising representatives, are required to pay full registration rates to attend WEC.

To apply for complimentary registration, please provide the following credentials via email to the MPI Communications Team.


- Website link for your publication or press outlet
- Circulation and/or website traffic numbers for your press outlet
- Links to three recent news stories with your byline about the meeting and event industry (Does not apply to business or local press)

Note, press contacts that previously attended WEC or EMEC in the past three years do not need to provide press credentials. It is highly recommended that interested press apply by October 1, 2020. Non-editorial press staff should proceed with regular event registration. MPI reserves the right to refuse to register any individual as press and may limit the number of credentials issued to a single organization. Also, each WEC 2020 badge is issued individually and is non-transferable.
